AI agents for business workflows

Short answer

SwankyForge builds AI agents that carry out a defined business task end to end: read a request, look up data in your systems, decide, act through your APIs, and hand anything uncertain to a person. Every action is logged and limited by explicit permissions. A typical project takes 6–12 weeks and costs €13k–€38k.

Refund request #4821Illustrative data
  1. Read the customer request
  2. Find order and delivery status
  3. Check refund policy and limit
  4. Refund $64.90 to the original card
  5. Order over the limit: sent to a person

Every action written to the audit log

Sounds familiar?

  • Staff copy data between systems all day.
  • Simple requests wait in a queue for a lookup.
  • A chatbot can talk but cannot do anything.
  • Automation scripts break whenever the input changes.
  • Nobody trusts software that acts without a record.

What we build

  • Request triage

Read, classify and route incoming requests with the context already attached.

  • Orders, refunds, bookings

Routine changes made in your systems within limits you set.

  • Back-office data entry

Values moved between systems, checked against each other.

  • Research and reports

Data gathered from several sources and assembled into a draft.

  • Follow-ups

Reminders and replies sent on schedule, in your templates.

  • Approval steps

Anything risky waits for a person, with the reasoning attached.

How a project runs

  1. 1

    Map the task

We write down the steps a person takes today, the systems involved, and which decisions are safe to automate.

  2. 2

    Give it tools, not freedom

The agent gets a short list of actions, such as look up an order or refund under a limit, each with its own permissions.

  3. 3

    Test on past cases

It runs on historical requests, and its decisions are compared with what people actually did.

  4. 4

    Suggest first, then act

At first it proposes and a person approves. Automation widens only where the measured error rate allows.

  5. 5

    Monitor every action

An audit log, cost tracking and alerts. Anything the agent is unsure about goes to a person.

What you get

  • Agent connected to your systems through their APIs
  • Permission list and approval rules
  • Test set of historical cases with results
  • Audit log and running-cost dashboard
  • Code and runbooks in your repository

Typical price

€13k–€38k

Typical timeline

Questions

How is an AI agent different from a chatbot?

A chatbot answers. An agent completes a task: it reads data, calls your systems and records what it did, within limits you set.

What happens when the agent makes a mistake?

Risky actions need a person's approval, every action is logged, and limits such as refund amounts are enforced in code rather than in the prompt. Automation widens only as the measured error rate allows.

Do we need a multi-agent system?

Usually not. Most business tasks need one agent with a few tools. Extra agents add cost and failure points, so we add them only when one agent demonstrably cannot do the job.

What does an AI agent cost to run?

Agents make more model calls than a chat, so the running cost is estimated per task before the build and tracked on a dashboard afterwards.

Do we have to replace our systems?

No. The agent works through the APIs and tools you already have.
